When you register for Insurance Desk, we collect your mobile phone number for OTP-based authentication. No passwords are stored. You may optionally provide your name, email address, and profile photograph.
Client & Policy Data
As an insurance agent, you enter client details (names, contact information, family relationships), policy information (policy numbers, premium amounts, renewal dates, maturity dates), and KYC documents (Aadhaar, PAN card images) into the platform. This data is stored securely and is solely under your control.
Commission & Financial Data
We store commission rules, earnings calculations, payout requests, and payment history that you configure and generate within the platform.
Usage Data
We automatically collect anonymised usage data including pages visited, features used, session duration, device type, browser type, and IP address to improve our services.
2. How We Use Your Information
We use the information we collect for the following purposes:
- Provide, maintain, and improve the Insurance Desk platform
- Authenticate your identity via mobile OTP verification
- Send automated renewal reminders via WhatsApp and SMS (for paid plans)
- Calculate and display commission earnings based on your configured rules
- Generate reports and analytics for your insurance business
- Send transactional notifications (payment confirmations, subscription updates)
- Provide customer support and respond to your inquiries
- Monitor and analyse usage patterns to improve the platform
3. Data Security
256-bit Encryption
All data transmitted between your device and our servers is encrypted using industry-standard 256-bit SSL/TLS encryption. Data at rest is encrypted using AES-256 encryption.
Multi-Tenant Data Isolation
Insurance Desk employs a multi-tenant architecture where each agent's data is completely isolated. No agent can access, view, or modify another agent's data under any circumstances.
OTP-Only Authentication
We use mobile OTP-based authentication exclusively — no passwords are stored in our systems, eliminating the risk of password breaches.
Secure Cloud Infrastructure
Our infrastructure is hosted on enterprise-grade cloud servers with 24/7 monitoring, automated backups, and disaster recovery capabilities.
4. Data Sharing & Third Parties
We do not sell, trade, or rent your personal data or your clients' data to any third party. We may share limited information with the following service providers who help us operate the platform:
- Razorpay — for processing subscription payments (payment details only)
- Cloud hosting providers — for data storage and processing infrastructure
- SMS/WhatsApp service providers — for sending renewal reminders (phone numbers and message content only)
- Analytics tools — anonymised, aggregated usage data only
All third-party providers are bound by strict data processing agreements and are prohibited from using your data for any purpose other than providing their specific service to Insurance Desk.
5. Data Retention
We retain your data for as long as your account is active. If you choose to delete your account, all personal data, client information, policy records, and associated documents will be permanently deleted within 30 days, except where retention is required by applicable law.
Soft Deletion
When you delete records within the platform (clients, policies, etc.), they are initially soft-deleted and can be recovered. Permanently deleted records are irreversibly removed from our systems.
6. Your Rights
Under the Digital Personal Data Protection (DPDP) Act, 2023, and applicable privacy regulations, you have the following rights:
- Right to Access — Request a copy of all personal data we hold about you
- Right to Correction — Update or correct any inaccurate personal data
- Right to Erasure — Request permanent deletion of your account and all associated data
- Right to Data Portability — Export your data in a standard format
- Right to Withdraw Consent — Opt out of non-essential data processing at any time
- Right to Grievance Redressal — Lodge complaints about data handling

8. Children's Privacy
Insurance Desk is a professional business tool intended for use by insurance agents who are 18 years of age or older. We do not knowingly collect personal data from individuals under 18. If we become aware that we have collected data from a minor, we will delete it promptly.
9. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will notify you via in-app notification and update the "Last updated" date at the top of this page. Continued use of Insurance Desk after such changes constitutes acceptance of the revised policy.
